Pre-flight Assessment:
Once the job has been booked and the 25% deposit paid, we will carry out a deskbased risk assessment for each location. We will carry out a physical visit of the site prior to the job if it is a higher risk area.
Copyright and Use of Media:
All photographs and videos on this website are the property of Aerial Media Services Ltd and are protected by copyright law. They may not be reproduced, printed, copied, or used on any other website or social media platform without our prior permission. Unauthorised use of our media will result in charges and may lead to legal action.
Unless otherwise agreed, Aerial Media Services Ltd retains the copyright to all videography and photography taken by our pilots or contracted pilots. This includes any media taken from any device. We also reserve the right to supply footage to any stock library.
Clients purchasing services from Aerial Media Services Ltd receive full use of the media for purposes such as website promotion, social media, and printed documents for an agreed period. However, they may not sell the footage or allow third-party companies to use it without written agreement from Aerial Media Services Ltd.
We reserve the right to use any footage for our promotional purposes unless otherwise agreed in writing, which would then trigger a buyout.
Each buyout will be discussed with the client. Unless a buyout is agreed upon, we reserve the right to add our logo to the video/photo and include credits at the end of the video footage.
Images of people require a release form to be signed during the filming/photo shoot to permit the photographer to use the image in commercial and non-commercial media.
Bookings and Cancellations:
A 25% deposit of the quoted project amount is required upon written confirmation of the project. If a site survey is required, the deposit must be paid before the site survey begins.
Clients will receive proof images and/or a low-resolution version of any film for approval.
Once payment is received, the full-resolution media will be provided via a digital download link or, if previously agreed, on a USB Flash Drive.
Cancellations after the initial 25% deposit is paid must be made at least 72 hours before any site survey, filming, or shoot. Cancellations with less than 72 hours notice will result in forfeiture of any monies paid.
Travel Costs:
No charge for car travel within a 30-mile radius from postcode BN21 1UU.
Travel beyond 30 miles is charged at 45 pence per mile.
Other disbursements (e.g., travel costs, accommodation) are charged in advance.
In the event of unforeseen adverse weather conditions preventing filming or project completion, and where an alternative date cannot be agreed, an agreed percentage of the payment will be refunded. The pilot’s decision is final for health and safety reasons.
For post-edited footage, a draft low-resolution copy will be sent for review. The full-resolution copy will be provided once the final payment is received.
Insurance and Permission for Commercial Operations:
We are insured to fly our drones and have Public Liability upto £5 million.
We are licensed to fly any drone under 250g.
Payment:
The entire balance must be paid within 14 days of the invoice’s date.

Yes, all drone pilots at Aerial Media are fully licenced and insured, complying with UK regulations to ensure safe and professional aerial photography and videography.
The drone we are currently using allows us to fly for 20 minutes on each battery. We have three batteries available to use.
A survey and risk assessment, along with a flight plan will be carried out and produced. A desk based assessment of the area will be carried out to identify locations of possible hazards in the area (i.e. schools, public areas, is the proposed site in controlled airspace or near an aerodrome or in a no-fly zone).
Our DJI 4k Mini is the perfect drone to allow us to film indoors and outdoors.
Aerial Media Services Ltd is a CAA (Civil Aviation Authority) approved Drone Operator, undergoing an A2 Certificate of Competency (A2CofC) and holds full public liability insurance (£5m).
Operations safety is absolutely paramount – and there maybe occasions when the expected project / job cannot go ahead – due to the weather or proximity of deemed hazards – the latter is normally determined fairly easily with the office-based pre-site survey – but will still need to be confirmed on site.
In all cases the drone pilot has the final say as to whether is safe to fly or whether the job has to be postponed or cancelled.
The CAA has strict rules and guidelines on the flying of UAVs – we adhere to these in all circumstances.
- Permission must be gained from any land owner from which the drone takes off before operations can commence.
- There must be 50 metre separation from the UAV from uninvolved people, not under control our control.
- There must be 30 metre separation from the UAV during take-off and landing from uninvolved people not under our control.
- UAVs cannot fly in the vicinity of aerodromes or within controlled airspace without the appropriate permissions – these would be obtained before commencement of the job.
- We cannot fly more than 400ft (120metres) from the surface in height
- There is a maximum of 500 metres forward distance from the take off point and operations must operate within a VLOS (visual line of sight).
- For groups of people over 1000 persons – a minimum of 150 metres distance from the UAV must be maintained.
The drone has many failsafe options including return to home and warning alerts.
Remember – safety is paramount.
